About the Office of Engaged & Experiential Programs The ILR School is proud to partner with Cornell's David M.
Einhorn Center for Community Engagement in our efforts to enhance and expand the engaged learning opportunities available for ILR students.
This school-wide initiative builds on ILR's long-standing commitment to improving the lives of workers and advancing progressive outcomes for communities, unions, and organizations.
The cornerstone of this initiative is ILR's new Office of Engaged and Experiential Programs.
The office coordinates an array of engaged and experiential learning and research opportunities and seeks to create new engaged experiences for ILR students.
The Opportunity The Office of Engaged & Experiential Programs is seeking a highly organized and detail-oriented person to join our team as a Program Assistant.
Reporting to the Director, this position plays a vital role in providing critical support for various programs while serving as a primary source of information for students, faculty, staff, and alumni.
The successful candidate will demonstrate excellent communication and coordination skills, as well as a strong commitment to delivering exceptional service.
Responsibilities:
Provide logistical support for programs, events, and workshops, including program reimbursements, program marketing, coordinating room reservations, catering, troubleshooting tech needs, and assist in the creation of event orientation materials.
Develop, plan, and support various recruiting events, info sessions, etc.
, involving students, faculty, visiting fellows, alumni, and employers.
Coordinate with various university-wide offices to ensure smooth program administration, including International Services, The Global and Public Health Program, Office of Engaged Learning, Office of the Vice Provost for International Affairs, Career Services, Student Services, Financial Aid, Bursar, Campus Life, Alumni Affairs & Development, Office of Marketing & Communications, Web Development, HR, and the Fiscal Office.
Provide student service support for programs such as ILR Credit Internship, research programs, International Programs (IP), Engaged Learning Programs, ILR Exchange, and the ILR/UCD Semester in Dublin Program.
Collaborate with the Managing Director of Credit Internship Program (CIP) to arrange and manage recruiter visits and interview schedules.
Coordinate the appointment process with HR for students participating in various programs.
Assist in the coordination of the visa process for the ILR Visiting Fellows Program, engaged learning and exchange students, and the ILR Credit Internship Program.
Monitor and maintain the SharePoint database for the Credit Internship Program and utilize Salesforce to track student engagement.
Provide general administrative support, including maintaining office equipment, ordering supplies, booking venues, and managing calendars.
Collaborate with the IP Associate Director to communicate and arrange meetings with the IP faculty committee.
Monitor and reconcile financial transactions using Kuali and Concur, including processing student financial awards.
Develop and create new print and online marketing materials and update existing webpages.

Associate's degree with 2 to 4 years of related experience, or equivalent combination of education and work experience is required.
Demonstrated service orientation.
Comfort level with both developed and developing world cultures.
Must have outstanding interpersonal skills and a demonstrated aptitude to work and communicate with diverse and international clientele to include students, faculty, staff, visitors, and alumni.
Demonstrated ability to exercise discretion and independent judgment including analytical and solution-finding skills.
Strong organizational techniques and the ability to handle multiple tasks, projects, events, and special assignments simultaneously while maintaining attention to detail on an established timeline.
Experience with event planning, coordination, and execution.
Excellent writing, proofreading, and editing credentials are necessary.
Strong oral and written communication skills.
Demonstrated ability to work independently and as part of a team, with a proactive and problem-solving mindset.
Prior experience with calendar management and logistical planning.
A demonstrated ability to maintain confidentiality is essential.
Strong technical and creative skills required to design, develop, and maintain program web pages and program/event support material.
Experienced with various software such as but not limited to:
Word, Excel, PowerPoint, Exchange Outlook (e-mail and calendaring).
Experience using databases and CRMs.
Occasional flexibility in standard work hours is required to attend on-campus, after-hour, and weekend events.

Bachelor's degree with 1 - 2 years relevant experience with an educational background focusing on international issues in the social sciences.
International sensitivity via having lived, worked, or studied in another country or culture and/or an ability to communicate in a foreign language.
Experience with the visa processes, working in higher education, student services, and/or marketing.
Experience with the following software:
Drupal (web-editing), Concur (travel arrangement and reimbursement), Canva (or other design software), Salesforce, SharePoint, Canvas.
Experience with Cornell's accounting systems (Kuali Financial Systems) and e-shops.
